Nominated Homestays

If the student is under 18 and has nominated a specific homestay host, and both Study Vision and the college or university have approved the host as part of the student’s approved accommodation arrangement, Study Vision will treat the host in the same way as any other approved under-18 homestay placement. While the student is covered by a CAAW, Study Vision will continue to monitor the accommodation and support the student’s welfare in accordance with its under-18 student welfare responsibilities.

Process for Approval and Registration for nominated homestays

To ensure the safety, welfare, and regulatory compliance of the student, Study Vision undertakes a strict verification and registration process:

  1. Application Initiation: The student initiates the process by submitting a standard Study Vision application, explicitly nominating the proposed host family within the ‘Please describe your ideal homestay host family” section.
  2. Host Registration: The nominated host family must complete and submit the standard Study Vision Homestay Host Application Form.
  3. Payment: Study Vision will invoice the student for the assessment and welfare arrangement
  4. Home Inspection & Interview: A Study Vision coordinator will conduct a thorough physical inspection of the home to ensure it meets our accommodation and safety standards. We will also interview and brief the host family on their duties and responsibilities.
  5. Working With Children Checks (WWCC): The primary nominated caregiver must hold a valid, paid-employment WWCC clearance. Additionally, all other residents or regular visitors in the home who are 18 years or older must obtain a valid volunteer WWCC clearance and submit evidence to Study Vision.
  6. Host Registration: Upon meeting all safety, regulatory, and living standards, the host is formally approved and registered as an official Study Vision Homestay.
  7. Final Provider Approval: Study Vision submits the recommendation to the student’s education provider so they can issue the necessary welfare and enrolment documents (such as the CAAW or CoE) required for the student visa.
  8. Ongoing management and support: Study Vision will treat the student’s placement at the nominated homestay as a standard homestay placement, with Study Vision’s standard management and support policies and procedures.

Responsibilities of a Registered Nominated Host

As a registered Study Vision host, the nominated family agrees to provide the same exceptional level of pastoral care expected across our entire network. Responsibilities include:

  • Welfare and Oversight: Monitoring the student’s well-being, enforcing school-mandated curfews, managing leave approvals, and tracking academic attendance/progress.
  • Inclusion: Welcoming the student warmly into the household, treating them as a member of the family, and providing healthy, adequate meals.
  • Reporting: Promptly notifying Study Vision regarding any student misbehaviour, difficulties adjusting to life in Australia, medical emergencies, or breaches of house rules.
  • Household Notifications: Keeping Study Vision informed of any changes to the household, including new residents/visitors staying for longer than a week, major home renovations, or intentions to move address.
  • Insurance Requirements: Maintaining an up-to-date Home Contents and Insurance Policy with a minimum of $20 million Public Liability cover, explicitly featuring wording that covers “paying guests.”
