Scope of this Policy

This policy applies to all individuals who interact with Study Vision, including:

• Students: International and domestic students, of all ages, applying for or staying in homestays and other accommodation arranged by Study Vision.
• Parents/Guardians: Of students under the age of 18.
• Hosts: Individuals and families providing homestay accommodation.
• Educational Institutes: Staff at Educational Institutes involved in arranging Homestays through Study Vision.
• Agents: Recruitment agents.
• Staff & Contractors: Individuals employed or contracted by Study Vision.
• Website Visitors: Anyone using the Study Vision website or portals.

Information We Collect

We collect information necessary to facilitate high-quality accommodation placements services.

• Identity Data: Full name, date of birth, gender, nationality, and copies of identification (Photo Id’s, Utility Bills, Working With Children Checks and Police Checks).
• Contact Data: Email address, phone number, and residential address.
• Educational Data: Institution details, course information, and English proficiency.
• Health & Welfare Data: Allergies, special dietary requirements, Medications, disabilities and medical conditions (necessary for safe placement).
• Financial Data: Bank account details  and/or credit/debit card details. 
• Property Data: Photos of host homes, detailed descriptions and room dimensions, and some household members’ details.

How We Use Your Information

We use your data to:

• Comply with legal and Statutory requirements and obligations (e.g., ESOS ACT for students Under 18, Educational Institutions policies, Student Visa requirements).
• Match students with appropriate host families.
• Process applications and payments.
• Communicate updates regarding placements or emergency situations.

Media and Property Photo Policy (Opt-In)

We distinguish between the use of property photos for internal matching and external marketing:

• Internal Placement Use: Photos of the host’s home are shared with potential students, their parents and their recruitment agents to facilitate a placement. By registering as a host, you consent to this internal use.
• Public Marketing (Opt-In): We will only use photos of your home or your likeness (photographs/videos) for public marketing or social media if you have provided explicit written consent. You may withdraw this consent, in writing (by email) to us, at any time.

Disclosure of Information

We may disclose some information to:

• Educational Institutions: To confirm accommodation arrangements.
• Host Families/Students: To facilitate the booking process, such as introducing a student applicant to the proposed Homestay/accommodation, and advising a Host of the details of a new student applicant (guest to be hosted at their place).
• Verified Agents: To manage the student’s application.
• Overseas Recipients: To facilitate international placements (in offering Homestay accommodation to international students who have not yet arrived to Australia), data may be disclosed to recipients in the student’s overseas home country. 

Data Security and Retention

• Security: We implement technical and organizational measures (encryption, firewalls, and secure servers) to protect your data.
• Retention: We retain personal data only as long as necessary for the purposes for which it was collected. You have the right to write to us, via email, at any time, after you have stopped working with Study Vision, to request that we delete your data. 
• Financial Records: Retained for 7 years to comply with Australian tax and legal requirements.
• General Correspondence: Retained for the duration of the relationship plus a reasonable period for legal defense.

Your Rights

You have the right to:

• Access: Request a copy of the personal information we hold about you.
• Correction: Request that we correct inaccurate or incomplete data.
• Withdrawal: Withdraw consent for marketing at any time.
• Complaints: Lodge a complaint if you believe we have breached your privacy.
